Our preparation staff remove all staples, clips etc. and sort the files into tidy batches within the files and boxes. All files and boxes are tracked throughout the scanning process.
At this point a selection of files are scanned to provide a quality control test to highlight any issues with paper/print quality. This enables any enhancements to be made prior to scanning, ensuring scanning quality and limiting the need for re-scans.
Once scanner settings have been established the documents are scanned and returned to files and boxes ready for indexing.
Indexing is a very important area and we work with our clients to agree the most efficient way to index the documents, taking into consideration how the files are to be searched, any document management software and existing file structures.
Throughout the scanning process a document scanning operator oversees every image to ensure that a high level of quality is maintained. Once the indexing has been finished and the files are complete you can be guaranteed to have the best possible results
Your digitised data is put on to a CD, DVD USB memory stick or USB Hard Drive, verified and then forwarded to the client. This data can also be provided for download via our own cloud service. All data is retained on our air gapped server until the client confirms that it can be deleted.
If you would like your paper files returned after scanning, we can return the files to your office or to your designated storage facility.
Once the client has given written authority for the paper files to be destroyed, the files are security bagged and tagged. Collected by our security waste partner for secure confidential destruction. The client is then provided with a destruction certificate for their records.

At Scanning Direct we scan documents ranging in paper size from A6 to A0. Our scanning equipment can scan small bits of paper to large architects plans in black & white and full colour.
For archive scanning we are generally asked to scan as Tiff (Tag Image File Format) or PDF (Portable Document Format), which are the most commonly used format. However we do scan in other formats dependent on client requirements.
Throughout the scanning industry 200dpi is considered to be an acceptable industry standard. Scanning Direct however like to offer our clients a higher level of resolution and therefore use 300dpi as a starting point to ensure quality and customer satisfaction.
Optical Character Recognition (OCR) document scanning is used globally in many industries. Legal offices, Blue Chip, public sector and education are some of the many establishments in which OCR scanning is utilised. Any businesses considering documentation conversion to digital format could benefit from OCR technology.
